You will learn

Would you like to use, prioritize and plan your time better by using Outlook? Outlook has several tools to handle your mails, so you don’t forget to follow up on them and at the same time Outlook can assign a priority to the mails, keeping the most import ones in focus.

You will learn efficient ways of administrating your calendar, opening other calendars and creating calendar groups. You will also learn how to create tasks from scratch, creating tasks based upon the content of a mail, and how to organize these tasks in groups and folders for you to maintain a good overview. To keep track of the created tasks there are numerus ways of viewing them and we will look at the possibilities of assigning and sharing your tasks.

You will learn how to use your contacts and how to use advanced search tools. In general, we will be looking at a lot of details and settings in your mail, calendar and tasks. And there will be a lot of exercises to practice the taught subjects.

After the course you will be able to:

  • Manage your own and somebody else’s calendars and use sharing of calendars and calendar groups
  • Plan your time better as all tasks are not equally urgent. Use tasks to define shorter and longer-lasting tasks and assigning/sharing your tasks with others
  • Follow up on mails, appointments and tasks by using flags and categories. The method of not forgetting a deadline and organizing your Outlook content
  • Act on mails as soon as they end up in your inbox - delete, archive, return or create a task based upon your mails?
  • Use advanced free text search combined with default search criteria. Save these searches in search folders - always up-to-date and just one click away

At start we will talk of the ways to streamline your working hours. This includes that you must set time of for scheduling tasks and to put your tasks into a system.

To focus on appointments and meetings, you will learn how to work with bookings in your calendar. You will learn about the use of other calendars and calendar groups.

  • Settings for the calendar

Prioritizing tasks
You will briefly be introduced to some theory regarding on how to prioritize your tasks. Not all tasks are equally important, and not all tasks are equally urgent! You will learn most of the aspects using tasks. And afterwards it could become one of your favorite future work tools.

  • Using and creating tasks

How to use follow up by using flags and categories
For effective management of your mails, appointments and tasks, the use of flags and categories are the two most important features.

Managing your mails
We look at the importance of taking immediate action on incoming mails. Should they be deleted, should a task be created from a mail or should the task be assigned to a colleague? You'll learn how to apply rules for incoming mails to organize your inbox automatically and efficiently.

Managing contacts
It's important that your contacts become an asset in your everyday life. We will show you how to work with contacts, and if needed, how to use them in different kinds of mail merge.

Cleanup in the mailbox
When working with large amounts of mails, it may be appropriate, occasionally, to clean up. The cleanup might be performed as a delete event or the making of an archive for later use.

Powerful search
In larger amounts of mails, contacts or tasks, it will often be an advantage to do a specific search rather than searching manually. So instead of thinking ”I must look for this”, you should think “I should search for this”! We will go through different ways of effective searches.
